How to Set Up Self Storage Notices & Reminders

By The Unit Manager Pro Team · 15 October 2026 · 7 min read

Rental documents and correspondence for a self-storage facility

Use this guide to set up the notices already available in Unit Manager Pro. You will find reusable wording and sending controls under Leases → Templates → Notice templates, rather than maintaining separate reminder schedules.

1. Prepare your business and tenant details

Check your Business profile for the business name, postal address and contact details. Add your facility logo in website branding. Check the tenant’s postal address too: a letter cannot include an address that has not been provided.

These details populate the formal letter layout. The tenant sees your facility business name, with a small “Powered by Unit Manager Pro” credit at the foot of sent and printed notices.

2. Choose the country and state

Expand Facility settings & local requirements in Notice templates. Choose the country and, for US or Australian facilities, the state. Review the guidance, select whether to receive an owner copy and save the settings.

For US facilities, all 50 states are available with source links in the guidance. A generic EU template cannot establish national requirements. The optional access-suspension warning changes final-arrears wording; it does not operate a gate or make a lockout lawful.

3. Edit a standard notice

Open the wording editor on the appropriate notice card. Update the subject and body, keeping placeholders for values that differ between tenants. Preview the letter before saving. Saved wording is reused for future notices; you can still adjust a particular tenant’s letter before sending.

4. Add your own notice

Use the add-notice option to give your notice a name, select a standard base category and write its subject and body. Insert the available fields rather than hard-coding one tenant’s balance or unit number into a reusable template.

The base category matters: only custom notices based on arrears, final arrears or notice to vacate can use overdue-triggered automatic sending. Custom wording does not bypass the category’s timing and earlier-notice safeguards.

5. Set reminder timing in the same section

The Payment reminder card holds reminder days before due, overdue reminder days after due and the automatic overdue-reminder switch. Save its sending settings here: these are the existing invoice-reminder controls, not an extra parallel schedule. Editing the Payment reminder template changes overdue email wording.

A friendly invoice reminder is not a formal legal notice. Keep its tone and purpose distinct from an arrears escalation.

6. Set the trigger and notice period separately

Days overdue before sending

This is how long the payment must be overdue before automatic sending becomes eligible. It is not a guaranteed delivery date: daily checks, local default-period safeguards and earlier-notice requirements still apply.

Notice period (days)

This is the time given to the tenant by the letter. Setting it below the displayed local template safeguard shows a warning; saving raises it to the safeguard. Other legal requirements may mean you need a longer period.

Example, not a legal recommendation

You might choose a notice-to-vacate trigger of 60 days overdue. That does not mean 60 days is the correct legal threshold for your facility, nor that the tenant has 60 days after service. Set the separate notice period after checking current local requirements and your agreement.

7. Review before enabling Auto send

  • Check existing overdue leases: enabling automation includes them, not just future arrears.
  • Confirm saved wording, balances, addresses and local delivery requirements before changing the switch.
  • Choose Auto send for eligible overdue notices, or leave it off for owner approval. Save each card’s sending settings.
  • Checks run daily at 08:00 UTC. Paid or processing payments are excluded, later stages wait for earlier notices, and each notice is sent once per unpaid cycle.

8. Preview, email or print a tenant’s notice

Open the lease’s notice action, choose a standard or custom notice and review its live preview. Check the tenant address, amount, dates and wording. Make any individual edits, then send by email or print for post. Keep delivery evidence and review the notice history; a printed letter alone is not proof that it was served.

Sale/disposal notices remain individually owner-approved and need tenant-specific sale details, earlier delivery proof and the legal checklist. Rent-increase and access-authorisation notices are not automatically sent because rent is overdue.

Before you rely on a notice

We do our best to keep templates up to date with local legislation, but laws can change. Check current local laws and your storage agreement, including service, waiting periods and any sale or publication requirements. The guidance is for the owner only and never appears on the tenant’s email or printed notice.

Frequently asked questions

Can I edit notice templates and create my own notices?

Yes. Under Leases → Templates → Notice templates, edit reusable subjects and wording or add your own notice with a standard base category. Each notice card keeps its wording and sending settings together. You can also adjust a letter before sending it to an individual tenant.

Can overdue notices be sent automatically?

Yes. Arrears, final arrears and notice-to-vacate notices, including custom notices based on those categories, can use Auto send or remain owner-approved. Set days overdue before sending separately from the notice period given to the tenant. Checks run daily at 08:00 UTC, exclude payments marked paid or processing, and enforce earlier-notice and timing safeguards. Enabling automation also checks existing overdue leases.

Do notices use my facility branding?

Yes. Letters use your facility business name, logo and contact details, plus the tenant postal address where available. Preview the populated letter, send it by email or print it for post. Sent and printed notices include a small “Powered by Unit Manager Pro” credit; owner-only legal guidance is not included.

Do notice templates account for different countries and US states?

The facility country and state select local guidance and template timing safeguards, with all 50 US states available. UK, Australian, Irish and general EU guidance is also available, but EU requirements differ by member country. Warnings identify shorter settings and saved notice periods cannot fall below the template safeguard. This is not a guarantee of legal compliance: check current local law, service requirements and your storage agreement.

Are sale and disposal notices automatic?

No. Sale and disposal notices remain individually owner-approved and require tenant-specific details, earlier delivery proof and a legal checklist. A notice does not automatically authorise a sale, disposal or gate lockout. Rent-increase and access-authorisation notices are not triggered by overdue rent.
