Manual invoicing burns hours every week and still leaves arrears on the books. Unit Manager Pro generates branded invoices, collects rent automatically, retries failed payments and posts receipts to the tenant portal — without you opening a spreadsheet.

A live ledger of every invoice, payment and retry — across all your units.

Everything billing, in one place

  • Auto-generated PDF invoices with your logo, bank details and a clear billing period (e.g. 01.05.2026 to 01.06.2026).
  • Recurring card collection via Stripe — off-session, with intelligent retries.
  • Direct Debit via Stripe (BACS / SEPA), subject to your connected account's eligibility.
  • Card backup if Direct Debit fails — automatic fallback to the saved card.
  • Configurable late fees and reminder cadence per facility.
  • One-click refunds and partial refunds.

Before configuring collections, compare UK storage payment options and the Direct Debit setup considerations. Plan how to move tenants onto automatic payments with the appropriate authorisation.

Pass fees to tenants — or absorb them

Choose whether processing fees are paid by the facility, the tenant, or split. The fee breakdown shows on the invoice so there are no surprises.

Review the UK invoicing and VAT guide with your accountant, and have any late-fee policy checklist checked for your agreements and location before using it.

The reminder timeline that gets you paid

Set friendly invoice-reminder timing alongside your notice templates. For formal arrears, final arrears and notice-to-vacate letters, choose owner approval or automatic sending, with separate overdue triggers and tenant notice periods. Paid or processing payments are excluded from automatic notice checks.

Edit branded wording or add custom notices under Leases → Templates. Local country/state guidance and timing safeguards help you review the workflow; they do not replace checking current law and valid service. See notices and reminders or follow the setup guide.

Why this beats spreadsheets

A typical facility owner spends 6-10 hours/week on invoicing and chasing. Automating the cycle reduces that to under one hour and typically lifts on-time payment rates by 15-25%.

Frequently asked questions

Do I need a Stripe account?

Yes — Stripe Connect handles card payments and routes funds to your bank. We never hold your money. Direct Debit also uses your connected Stripe account, with the relevant payment capability enabled.

Can I send my own invoices instead?

Yes — auto-generation can be turned off per facility, but most operators run the automated workflow once they see the time saved.

What happens if a card payment fails?

We retry on a configurable schedule, fall back to a backup payment method if available, send the tenant a notification, and flag the invoice on your dashboard.

Can I edit notice templates and create my own notices?

Yes. Under Leases → Templates → Notice templates, edit reusable subjects and wording or add your own notice with a standard base category. Each notice card keeps its wording and sending settings together. You can also adjust a letter before sending it to an individual tenant.

Can overdue notices be sent automatically?

Yes. Arrears, final arrears and notice-to-vacate notices, including custom notices based on those categories, can use Auto send or remain owner-approved. Set days overdue before sending separately from the notice period given to the tenant. Checks run daily at 08:00 UTC, exclude payments marked paid or processing, and enforce earlier-notice and timing safeguards. Enabling automation also checks existing overdue leases.
