How to Plan Your Self Storage Software Migration
By The Unit Manager Pro Team · 26 February 2026 · 3 min read · Updated 14 October 2026

You can plan a move from spreadsheets or another storage system by checking your data, reconciling balances and agreeing a payment cutover. Timing depends on the export quality and tenant setup required; there is no universal weekend or zero-downtime guarantee.

Plan your move before changing collections
Book a demo with your current system name, unit count and target date. Bring a description of your exports so we can discuss the scope and next steps.

What should I prepare?
- Units: a unique reference, size, rent and occupancy status.
- Tenants: names, contact details and the unit each tenant occupies.
- Leases: start dates, agreed rent, billing frequency and next due date.
- Balances: unpaid invoices, payments received, deposits and credits to reconcile.
- Documents: agreements and records to retain securely. Confirm which files can be brought into the new system.
Can payment methods move with the data?
Do not assume saved cards or Direct Debit mandates transfer with a spreadsheet. Confirm any supported provider-led transfer first; tenants may need to authorise payment again. Never put full card numbers or security codes into an import file.
How do I avoid missed or duplicate rent?
Agree a final collection date in the old system and a first collection date in the new one. Reconcile pending payments before scheduling new collections. Test a small sample, verify opening balances and invite tenants in a planned sequence. Keep access to the old records until you have checked the move.
What does setup help cost?
The optional setup service is £99 for one facility, up to 200 units and 150 tenants, credited to the first monthly invoice. Confirm the data format and scope before sending files. Larger or more complex moves need a discussion; this is not a promise of free, unlimited migration.
What should I verify before going live?
- Unit counts, occupied units and tenant-to-lease links match the old system.
- Rent amounts, outstanding balances and next collection dates are correct.
- Tenants can access their portal and complete required setup.
- The old system will not collect the same rent after cutover.

Frequently asked questions
Is migration free?
Self-setup has no required setup fee. Optional assistance costs £99 for one facility, up to 200 units and 150 tenants, credited to your first monthly invoice. Confirm scope before proceeding.
Will existing payment mandates transfer automatically?
Do not assume so. Confirm any supported provider-led transfer. Tenants may need to authorise a new payment method or mandate.
How long will switching take?
It depends on data quality, export availability, tenant setup and payment schedules. Agree a realistic cutover after reviewing those details.
