What Is Self Storage Software? Features, Cost and How It Works

Self storage software is the system a storage facility runs on. At its simplest it is a list of units and who is renting them. Modern systems go further: they collect the rent, chase late payers, take bookings from your website and let tenants manage their own accounts.

What self storage software does

Whatever the brand, most self storage software programs cover five jobs:

  • Units — sizes, prices, which are free and which are let
  • Tenants and leases — contact details, ID, signed agreements, start and end dates
  • Billing — invoices, payments, arrears and late fees
  • Bookings — enquiries and reservations, ideally online
  • Reporting — occupancy, revenue and who owes what

Older packages, sometimes still called mini storage software, stop at record keeping. The difference with newer systems is automation: the software acts on the records instead of just storing them.

The features that matter most

Automatic rent collection

This is where most time goes in a storage business. Look for recurring payments by Direct Debit or card, automatic retries or a backup payment method when a payment fails, and reminders that go out without you sending them. Our guide to reducing late payments goes deeper.

Online booking

Many people look for storage in the evening and want to reserve straight away. Software that shows live availability on your website and lets customers book, sign and pay online wins those customers. See how to add online booking to your website.

Rent increases

Price reviews are easy to forget. Good software lets you schedule an increase by unit or across the facility and applies it on the date, with notice to the tenant.

Tenant portal

A portal lets tenants update card details, download invoices and raise issues without phoning you. Read what a tenant portal should do.

Access control links

If you use keypads or smart locks, check how the software tells the gate system that a tenant is overdue or has moved out. Our access control software guide covers the options.

Cloud or desktop?

Desktop self storage software is installed on one office computer. Cloud-based software runs in a browser, so you can check the facility from anywhere and the supplier handles backups and updates. Most new systems are cloud based; the trade-offs are in cloud vs desktop self storage software.

How self storage software is priced

You will usually see one of four models:

  • Per facility — a flat monthly fee for each site, whatever the occupancy
  • Per unit — a fee for every unit in the system, let or empty
  • Per leased unit or share of rent — you pay as units are let
  • One-off licence — paid once, often for desktop software, with support extra

Also ask about setup fees, contract length, payment processing fees and whether the website or booking tools cost extra. Unit Manager Pro uses the per-leased-unit model; the numbers are on our self storage software pricing page.

How to choose

  • List the jobs that take most of your week, then check the software automates them
  • Make sure it supports UK Direct Debit properly, not as an add-on
  • Book a demo with your own unit count and a real tenant scenario
  • Check you can export all your data if you leave
  • Use the free trial on a few real units before moving everything

Frequently asked questions

What is self storage software used for?

Managing units, tenants, leases and rent for a storage facility. Modern systems also automate payments, reminders, rent increases and online bookings.

Do I need self storage software for a small facility?

A spreadsheet can work for a handful of units, but once you are chasing payments and tracking leases by hand, software usually saves more time than it costs.

Is self storage software expensive?

It depends on the pricing model. Per-facility and per-unit plans charge for empty units; per-leased-unit plans only charge for units that are let.

What is the difference between self storage software and mini storage software?

They are the same thing. 'Mini storage' is a term more common in the US; the software manages units, tenants and payments either way.
